Terras Impact GmbH (hereinafter referred to as "the Organizer," "we," "us," or "our") is committed to protecting the privacy and security of your personal data. This privacy notice explains how we collect, use, and share your personal data in connection with your participation in our event(s) and activities in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR) as implemented in Germany.

As part of our responsibility under data protection law, additional obligations have been imposed on us by the entry into force of the EU General Data Protection Regulation (Regulation (EU) 2016/679; hereinafter: "GDPR") in order to ensure the protection of personal data of the person affected by processing (we also refer to you as the data subject hereinafter as "customer", "user", "you", "you" or "data subject").

Insofar as we decide either alone or jointly with others on the purposes and means of data processing, this includes, above all, the obligation to inform you transparently about the type, scope, purpose, duration, and legal basis of the processing (cf. Processing of Personal Data:

The collection, processing and use of your personal data is carried out by us exclusively to the extent necessary for the establishment, structuring or amendment of the contractual relationship in compliance with the statutory data protection regulations.

  • Website: We provide you with this page to browse through the events and provide a web form to register for one of our Events. We also make sure our website stays secure. In the process of serving our website, we automatically collect standard protocol information typical of website interactions. However, we do not use cookies to track personal information or browsing habits. Server log files: The website provider automatically collects and stores information in server log files that your browser automatically transmits to us. These are: Browser type and browser version, operating system used, referrer URL, The hostname of the accessing computer, time of the server request, and IP address. This site uses web fonts provided by Google to ensure a consistent and appealing display of fonts. When you visit a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly. For this purpose, your browser must connect to Google’s servers, letting Google know that our website was accessed via your IP address. The use of Google Web Fonts is in the interest of a consistent and appealing presentation of our online offers. This constitutes a legitimate interest within the meaning of Art. 6 1 lit. f GDPR. If your browser does not support web fonts, a default font will be used from your computer.‍
  • Website Platform: Our website is designed and hosted on Webflow.io, a third-party website building and hosting platform. By visiting our website, some of your data may be stored on Webflow's servers, including but not limited to your IP address, browser type, and operating system. This information is used for analytics, improving website performance, and ensuring a secure environment for all users. Webflow is certified under the EU-U.S. and Swiss-U.S. Data Privacy Framework as well as the UK Extension to the EU-U.S. Data Privacy Framework.
  • ‍Contacting us: When you contact us by e-mail or via a contact form, the data you provide (e.g., your e-mail address, your name, and telephone number if applicable) will be stored by us in order to answer your questions and process the registration.‍
  • Registration Data: We collect and process personal data provided by you during the registration process. This includes your name, contact information, company affiliation, LinkedIn-Profile, and position for the purpose of managing event registration, communication, and administration. Additionally, on a voluntary basis, we invite you to share your dietary preferences and networking interests to help us tailor your event experience more closely to your needs and preferences. This information will be used solely for the purpose of enhancing your participation in the event, including but not limited to, arranging suitable meal options and facilitating professional networking opportunities.‍
  • Invoice Data: For the processing of payments, we collect invoice-related personal data, such as billing address and payment details, in compliance with financial and tax regulations.‍
  • Travel and Hotel Booking Assistance: If you request assistance with hotel bookings and provide relevant identification documents, we will share this data with designated hotels to facilitate your reservation and ensure a seamless experience. By providing this data, you expressly consent to this sharing of information with those.‍
  • The Event: During the event, we will take photo and video recordings (hereinafter referred to as “Recordings”) of the event, including the Participants, for the purpose of documenting the event, promoting future events, and enhancing our community engagement through various media channels, including but not limited to our website, social media platforms, and promotional materials. By participating in the event, you acknowledge and give explicit consent to the Organizer for (1) the capturing of your likeness and participation in Recordings during the event, (2) the use, reproduction, distribution, broadcast, and exhibition of these Recordings, without limitation, in any media or format, whether now known or hereafter developed, for any purposes related to the Organizer’s activities, including but not limited to promotional, educational, and documentation purposes.

If we use contracted service providers for individual functions of our offer or would like to use your data for advertising purposes, we will always carefully select and monitor these service providers and inform you in detail below about the respective processes. In doing so, we will also state the defined criteria for the storage period.

We are entitled to transfer this data to third parties commissioned with the execution of the order, insofar as this is necessary for the fulfillment of the contract, in particular also for admission control and the creation and processing of participation tickets.

Legal Basis for Processing:

The processing of your personal data for registration, communication, and administrative purposes is necessary for the performance of a contract to which you are a party. Sharing data with hotels for accommodation arrangements is based on your explicit consent.

Data Retention:

Your personal data will be retained only for as long as necessary to fulfill the purposes for which it was collected, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Your Rights:

You have various rights regarding your personal data, including the right to access, correct, delete, or restrict the processing of your data, the right to object to processing, and the right to data portability. You also have the right to withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

In case you provide consent, you have the right to withdraw your consent for the use of any recordings containing your likeness at any time. However, it is important to note that this will not affect the lawfulness of any processing carried out before your withdrawal of consent.
